HR and Recruiting Administrative Assistant

Description:

Primary Purpose
Performs various highly complex administrative duties where considerable judgment and initiative is required in resolving human resources related tasks. Primary support to the HR Director, Managers and HR Team. Assists with recruiting, onboarding, recordkeeping, file maintenance, HRIS entry, employee exits, and administrative personnel matters. Key employee resource for all Human Resources inquiries.

Duties and Responsibilities

  • Provides administrative support to Director, Managers and HR team; including processing expense reports, preparing presentations as needed, managing calendars for large events, ordering food and organizing meetings for HR teams, travel arrangements as needed.
  • Supports the HSS department with Facilities OS initiatives, and/or maintain PowerPoint presentation for administrative support.
  • Maintains HR department invoices through MAX system, create PO's and work with the AP department to ensure payments are process.
  • Recruiting:
    • Assembles and updates new hire packages.
    • Processes background checks and drug screens; schedules pre-employment physicals as needed.
    • Assists Mobility advisor with relocations as needed.
    • Coordinates transfers with inter-company resources.
  • Special Projects:
    • Provides high-level administrative support to the HR Director and Managers by assisting in various HR projects.
    • Creates and runs standard reports for HR as well as other departments.
    • Manages invoice processing and purchase requisitions.
  • Problem Resolution:
    • Coordinates with benefits and payroll departments to resolve benefit and/or payroll-related problems/inquires.
    • Assists in the interpretation of Company policies to employees.
    • Provides ongoing support and problem resolution for employees.
    • Acts as a liaison between internal clients and HR Managers.
  • Staffing:
    • Supports the new hire orientation sessions as needed.
    • Completes data entry of new hire information into the HRIS system.
  • Employee Data Maintenance:
    • Assists in the processing employee changes (salary changes, promotions, transfers, benefits, and payroll).
    • Maintains employee personnel records. Tracks term files according to records management schedule.
    • Ensures all related HR documentation and forms are current.
  • Performs other duties as assigned (no more than 5% of duties).

Education
  • HS Diploma/GED required. Associate's or Bachelor's degree preferred.

Experience
  • At least 4 years of administrative experience with at least 2 years of Human Resources support experience required.

Knowledge, Skills and Abilities
  • Knowledge of general HR procedures and practices.
  • Ability to multi-task and prioritize projects.
  • Ability to maintain confidential information and materials.
  • Must have excellent computer skills (software, HRIS).
  • Strong demonstrated ability in using MS Office particularly Excel and PowerPoint.
  • Strong problem-solving skills.
  • Solid team player and able to work independently.
  • Strong communication skills, both written and verbal.
  • Fluency in written and verbal Spanish communication a plus.
