Receptionist

The Receptionist's responsibilities include, but are not limited to:

  • Greets and assists guests, which could include outside guests, maintenance, employees, food deliveries and plant deliveries.
  • Provides phone coverage for the 18th floor, ensuring calls are routed appropriately.
  • Coordinates scheduling the boardroom.
  • Handles management meeting books.
  • Acts as administrator for the boardroom calendar.
  • Ensures orderliness of the boardroom after meetings.
  • Issues parking validations for guests.
  • Monitors 18th floor cameras throughout the floor.
  • Monitors and maintains office supply inventory and paper supply for the 18th floor.
  • Prepares and ensures coffee is in the boardroom Mon-Fri.
  • Delivers newspapers to recipients of the 18th floor and ensure orderliness around desk area.
  • Replenishes items in areas where needed.
  • Requests via email the visitors of the day from those anticipating guests.
  • Maintains familiarity with company leadership, board of directors and other key stakeholders.
  • Demonstrates company confidentiality.
  • Maintains a positive and professional demeanor during all interaction.
  • Completes various other administrative duties for the 18th floor.
  • Provides backup support to Chairman and Vice Chairman.
  • Performs other tasks as requested or assigned.
Qualifications

The successful candidate will meet the following qualifications:

  • High school diploma is required. Associates degree preferred.
  • 5-10 years of experience is preferred in an administrative role, supporting executives or leadership teams in a corporate environment.
  • Attention to detail and accuracy are required.
  • Ability to juggle competing priorities, multi-task and be flexible in a variety of workplace situations.
  • Proficiency in Microsoft Outlook and Word is required.
  • Ability to handle confidential information with discretion and sound judgement is required.
  • Must have excellent written and verbal communication skills, with the ability to interact professionally with a variety of stakeholders.
