Description:

  • Key Responsibilities
  • Manage vendor relationships for landscaping, pest control, cleaning, and building maintenance to ensure a clean, safe, and fully functional workspace
  • Coordinate office repairs and upkeep; ensure printers, copiers, and other equipment are operational and serviced promptly
  • Maintain overall office organization, cleanliness, and supply levels—including PPE for technicians and general office inventory
  • Handle all incoming and outgoing mail and deliveries efficiently
  • Greet walk-ins, answer phones, and route calls professionally
  • Enter customer payment data and bills into QuickBooks Desktop; add freight charges to purchase orders
  • Process invoices, purchase orders, and expense reports accurately and timely
  • Track raw material usage in daily morning reports and reorder supplies proactively to avoid shortages
  • Conduct regular property walkthroughs to ensure the site is well-maintained and visually presentable
  • Assist with HR onboarding tasks, including managing applications and new hire paperwork
  • Support timekeeping and payroll preparation as needed
  • Help coordinate internal employee events and communications
  • Keep the breakroom and vending areas fully stocked and orderly
  • Provide cross-departmental support and assist with project coordination for department heads
